Why do you not state prices for the CoreMedia and FirstSpirit products on your website?

Is there a limit to how many pages my form can have?

No, Formcentric has no technical limit on the number of pages. You can create as many pages and steps as you like for your online forms. Can several people work on one form with the Editor?

Accepted Answer

Yes, forms can be worked on by more than one person – but separately and not at the same time. Once a form is being actively edited, the system locks it to prevent access by other users, so data cannot be accidentally overwritten. An integrated version history also keeps everyone in the team informed about changes.  How form collaboration works in Formcentric:  Overwrite protection (locking): only one person can actively edit a form in the Editor at one time.  Version history: the system keeps a continuous record of who made which changes and when.  Transparent teamwork: earlier form versions can be tracked, accessed and restored as necessary.

Can I also embed online forms from Formcentric on my own website?

Yes, you can embed forms using JavaScript code or as a native CMS element (depending on the Formcentric product variant). Our Cloud product offers flexible embedding with code snippets, while the CMS editions feature seamless, no-code integration with your existing system environment.  Embedding options for each product:  Formcentric Cloud: to embed the form in your website, simply paste the automatically generated JavaScript snippet into your web page source code.  Formcentric for CoreMedia or FirstSpirit: code snippets are not needed. Instead, the forms are provided as native content elements, which are simply placed on your pages in your familiar CMS editing interface.

I don’t have a website. Can I still create a form and use it to collect data?

Yes, you can use Formcentric Cloud to create and use forms even if you do not have a website. The system automatically generates a unique direct link (URL) for every form. When you want to collect data with the form, you simply share this public link via email, social media or messenger services.  How to manage data without your own website:  Automatic direct link: your form can be accessed directly via its own URL. You do not need a separate website.  Centralised data management: all form responses are stored and managed directly in the Formcentric system.  Email forwarding: you can also have your incoming form data forwarded automatically to a designated email address.

Which form elements and functions can I include in a form?

Formcentric lets you use a wide range of form elements and functions when creating your individual online forms. These include input fields, drop-down list boxes, check boxes, radio buttons and upload fields for files.  Formcentric also provides you with validation functions as well as required fields, multi-page forms, conditions and styling options. Yes, you can use Formcentric to create dynamic forms that respond to the input from your users. You can have fields, sections or even entire form pages shown or hidden automatically, depending on the user’s response.  This functionality, which is based on conditional logic, lets you adjust your forms to match individual user needs.

Do people get a confirmation email after they have completed a form?

Accepted Answer

Yes. You can decide whether your users should receive an automatic confirmation email (email confirmation) after submitting the form. This option can be set for each online form. This function can be activated or deactivated in the form manager with just a few clicks. There is only one requirement for this function: your form must have a corresponding input field for the user’s email address, so that the system can send the email to this recipient.  The confirmation email can be personalised for your form users in a number of ways: you can confirm the successful receipt of their form data, include a summary of the data that they entered or explain any additional steps.

Can I use the double opt-in method for my forms?

Yes, the double opt-in (DOI) function can be easily integrated into your Formcentric forms. Please note that this feature is exclusively available in Formcentric's paid plans.  In Germany and the EU, the double opt-in process is legally required for things like newsletter subscriptions or digital lead generation to provide GDPR-compliant proof of user consent.  In the paid versions of Formcentric Cloud, this feature is already integrated as standard and ready for immediate use. For the CMS-integrated editions for CoreMedia and FirstSpirit, the double opt-in function is also available, allowing you to map legally secure subscription processes natively via your content management system.

Can I export the data that I collect?

Yes. You can export any or all of the data collected by your forms directly from the Formcentric data area whenever you want to. You can choose from standard export formats like CSV and XML to ensure efficient further processing and analysis in other systems. Starting an export takes just a few clicks in the Editor.

Is the data submitted stored anywhere – and how can I erase it?

Yes. Formcentric Cloud stores all data from form submissions. You can view the data and perform structured analysis directly in the system. You also retain full control of your data at all times, to ensure you can meet the strict legal requirements for data protection.  Data sanitisation is also required by the EU GDPR, but you do not need to remove data manually, as Formcentric offers user-friendly automation of data clean-up activities. You can define fixed periods of time after which the system should either delete or anonymise individual items of data, input from sensitive fields or the entire form submission. You can tailor these options to suit your exact requirements and internal retention periods.  If you are using Formcentric inside your CMS, form submission data is always retained within your own IT infrastructure, so you can configure your existing internal systems to handle the erasure processes.

Are data processing agreements (DPAs) available when using Formcentric?

Yes. All use of Formcentric Cloud is subject to a legally binding data processing agreement (DPA) concluded between your organisation and Formcentric. This DPA governs our collection, storage and processing of personal data – which is fully compliant with the provisions of the EU General Data Protection Regulation (GDPR). In the Formcentric Cloud edition, all data processing is completed within a certified German data centre, and the DPA gives you and your Data Protection Officer the necessary legal certainty.

Yes, Formcentric calculates form statistics automatically. These statistics give you an at-a-glance assessment of the performance of your online forms based on real usage data. You can use these statistics to answer the following questions, for example:     Accesses and interactions: How often did users actively access and interact with your form?  Conversion rate: How many people actually completed and submitted the form after accessing it?  Average completion time: What is the average length of time that users need to fill out the form?    These essential insights help you to monitor the general performance of your web forms and identify emerging problems with bounce rates. You can use this information to make targeted improvements and ensure more successful submissions/leads.

Who owns the data that is collected by Formcentric?

You retain full ownership of all data that is collected by your online forms. As the data controller for your forms, you retain full data sovereignty and remain the sole owner of all information that is acquired by your forms. Formcentric’s role is limited to the provision of technical services.  When using Formcentric Cloud, all data is processed in full compliance with the EU GDPR and stored in an encrypted format in a certified German data centre secured against third-party access.

Does Formcentric comply in full with the EU General Data Protection Regulation (GDPR)?

In Formcentric Cloud, all data processing and data storage operations are carried out in a certified, highly secure data centre located within Germany. All data exchanged between your online forms and our servers is sent over an encrypted HTTPS/TLS connection. Will my data be erased if I cancel my account with you?

Accepted Answer

Yes. If you cancel your Formcentric Cloud account, all of your form data, submissions and configuration settings will be irretrievably erased from the data area when your contract expires and after any statutory data retention periods have ended. This erasure is irrevocable and permanent: for security reasons, your data cannot then be restored.  While you still have access, we therefore strongly recommend that you use the export function to save your collected data and form submissions. This data can be exported as CSV or XML, for example, and archived locally.
