Optimised data transfer and corporate design: forms in a perfect PDF format

PDF forms in Formcentric

Have you ever asked yourself how you can present the form input from your users as part of a professionally designed PDF that is also a perfect match for your corporate design? This is now possible, thanks to the new PDF link from Formcentric. Link your online forms to tailor-made PDF documents, and have your form input transferred to your individual layout as a seamless and automatic process. In this way, you can provide both your users and your team with a PDF that perfectly reflects your brand identity. In addition, the PDF link also significantly boosts efficiency within your team.

Wide range of applications

The PDF link is a very flexible tool that is suitable for a wide range of applications. One typical example is the creation of insurance policy applications, where the customer enters their data online and a PDF is generated automatically using the corporate design of the insurance company. This document contains all of the details and is provided as a download or in an email. All the customer has to do is print it out, sign it and mail it in.

However, the PDF link isn’t just a useful tool for insurance contracts: it can also be used with forms that record details of other kinds of applications or for simple feedback forms. This makes sure that all of the relevant data is provided in a professional and standardised format that meets all of your individual requirements. A solution that saves time, reduces errors and ensures consistent documents with uniform branding.

Seamless integration and individuality

The PDF link automatically transfers the form data entered into a PDF document of your choice – and this PDF document can of course be formatted to correctly present your corporate colours and styles. Once your users have completed and submitted the form, you can then offer them the individually designed PDF document with their form input as a download.

Boosting efficiency with collaborative working

The PDF link offers more than just conformity with your corporate design, however: the feature can significantly simplify your teamwork while making it more efficient. Instead of your team having to log into Formcentric to view form data, you can simply have this input forwarded to them as a PDF. This saves valuable time while reducing administrative overheads: all of the relevant information is presented in a handy PDF format and can be utilised in other workflows without additional manual processing.

Let’s imagine your team is working on a major project for your customer, where feedback forms are being submitted on a regular basis. With the PDF link, this form input is entered automatically into a PDF template, with the final PDF then mailed out to all of the relevant team members. Everyone in your team always has the latest data at their fingertips and can start analysing it immediately. This seamless approach to data integration and distribution considerably simplifies your collaborative project work, as all stakeholders are always on the same page, avoiding potential delays or additional manual steps in the process.

How does the PDF link work?

Using the PDF link feature couldn’t be easier. All you need are two things: an online form in Formcentric, which your users fill out, and a ‘fillable’ PDF form – i.e. a PDF form created in your required design that includes the corresponding fields for holding the user data transferred from the online form.

Once you have stored the PDF form in Formcentric, you simply assign the fields from the online form to the matching fields in your PDF document. This matching up of your fields – often referred to as ‘mapping’ – is a necessary step that ensures the user data entered in the online form is placed into the correct fields within your PDF document.

When your users subsequently complete and submit the online form, the data that they have entered is transferred automatically into the PDF document. The final PDF can then be included as a download link in the confirmation message shown to your users after completing the online form or included as an attachment in a notification sent by email.
